We are looking for a new colleague for the position of Project Manager Assistant

Requirements
– strong organizational and effective planning skills with a commitment to meeting
deadlines;
– good interpersonal and collaborative skills;
– proficiency in English and Hungarian, both spoken and written (Romanian is desirable).
– proficiency in ICT tools, including MS Office, Google Drive, and project management
platforms.
– experience in project management (experience in cross-border initiatives is a plus)
– educational degree or certified competences in a relevant field (e.g., project
management, administration, education).


Professional experience
– experience in administrative positions (preferably in the field of projects funded by
grants)
– knowledge of EU-funded projects and their requirements is highly desirable;
– an educational degree or certifed competences in a relevant field (e.g., project
management, administration, education);
– experience with managing projects in similar fields / with similar topics is highly
desirable.


Main responsabilities:
– assist in monitoring and tracking the overall progress of the project, ensuring
milestones and deliverables are met;
– help in the preparation of project-related reports and documentation;
– coordinate and schedule project meetings, including setting agendas, sending
invitations, and preparing meeting materials;
– maintain comprehensive project documentation, ensuring data accuracy and
completeness for reference and reporting purposes;
– support the project manager in preparing and managing project budgets, ensuring
adherence to budget guidelines and resource optimization;
– collaborate with project partners to facilitate coordination efforts and assist in the
development a joint action plan for the project’s sustainability period;
– perform general administrative tasks to support the smooth functioning of the project,

such as maintaining project calendars, organizing project files, and responding to
inquiries.
– provide support and assistance to the project team as needed, helping to address any
challenges or obstacles that may arise during project implementation.
– maintain accurate records of project activities, including meeting minutes, project
updates, and correspondence.
– assist the project manager in delegating tasks and responsibilities to project team
members and ensuring that they are carried out effectively.
– perform other duties and responsibilities as assigned by the project manager to
support project success.


Project specific tasks:
– implement communication and promotional activities for the project, including
managing project-related correspondence, updating project communication channels,
and overseeing the development of promotional materials;
– ensure that communication activities adhere to the programme guidelines regarding
the project’s visibility and visual identity;
– handle primary accounting tasks related to project expenses, including tracking
expenditures, processing invoices, and reconciling financial records;
– coordinate the procurement process for equipment and materials required for project
activities.
